Responsibilities

The Staffing Coordinator provides staff to all units on the East Mountain Youth Lodge on the day, evening and night shifts utilizing approved staffing patterns and acuity data. Reporting to the Director of Adolescent Residential Services, schedules staff to all of the East Mountain Youth Lodge programs according to the approved staffing patterns. This is done with the oversight of the Program Supervisor management team. Assists EMYL management team in a variety of functions to ensure program efficiencies such as regulatory record keeping, chart audits and other processes.

 

1. Schedules staff to work utilizing approved staffing guidelines. (Residential Counselors, Nursing and CIS)

2. Replaces staff who take benefit time, i.e., sick, absent, vacation, personal day, based on daily identified need. (All planned PTO requests must be co-approved by assigned Program Supervisor)

3. Maintains monthly time schedules for all residential counselor¿s/CIS using scheduling data base tracker.

4. Maintains daily staffing schedules ensuring accuracy, skill mix and appropriate coverage. Discusses staffing on a daily basis with Program Supervisors. Attends and reviews staffing schedules in meetings with Program Supervisors and Nursing Director. Responsible for the creation of the minutes for this meeting

5. Develops a call out system and tracks attendance issues (i.e. Level 2 beeper system) and alerts Supervisors of actual call outs/reasons. Creates a missed swipe report for Supervisor review.

6. Develops vacation and holiday schedules for all staff on all shifts in each program. Processes all requests for seminar attendance and maintains a log of seminars and cost.

7. Maintains Timekeeper system for all Lodge staff including Per Diem and On-Call employees working day, evening, and night shifts, making entries and edits as needed. 8. Coordinates the creation of staff status changes for Director approval.

9. Develops and maintains accurate EMYL staff roster, including phone and contact information for EMYL employees. Reviews roster and staffing needs with Human Resources.

10. Helps nurses schedule outgoing consults for residents and coordinates the assignment of staff for transportation.

11. Maintains licensure records on all staff with licensing requirements ensuring that licenses are current. Maintains appropriate staff files containing orientation paperwork (OVCA), updated driver¿s licenses, CPR certifications, CARI/CHRI documentation, training documentation and other required regulatory documentation.

12. Oversees and schedules staff for required training utilizing the staff training tracker and oversees the yearly mandatory education training packets completion.

13. Orients new hires to payroll and staffing procedures.

14. Assists with ongoing Quality Assurance audits of EMYL systems/processes and programming.

15. Oversees staff signing off of yearly and as/needed policy reviews.

16. Assists in meeting and greeting visitors as well as assisting personnel involved in auditing, investigating and reviewing program policies/procedures and staff.

17. Performs clerical duties as assigned (i.e. uniform inventory, Grant Time and Effort reports, etc.).

18. Works closely with Administrative Assistant to develop and maintain program efficiencies.

19. Other duties and/or projects as assigned.

20. Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

 

1. High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.

2. Minimum of 1 year of experience in customer service or patient care setting.

3. Excellent written and verbal communication skills.

4. Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.

 

Education, Knowledge, Skills and Abilities Preferred:

 

1. Minimum of 1 year of staffing/scheduling experience in a healthcare setting.

 

Licenses and Certifications Required:

 

1. AHA HeartSaver First Aid CPR AED Certification or completed within the first 90 days of employment.
