The Manager, Medical Staff Office provides direction and leadership in all areas of medical staff services support and the credentialing process. Assists medical staff leadership in development, implementation and adherence to medical staff organization governing structure and documents, as well as adherence to accrediting body and state/federal regulatory requirements.

Responsibilities

A day in the life of a Manager, Medical Staff Office at Hackensack Meridian Health includes:

  • Interprets, communicates and assures the implementation of the organization's mission, vision and values.
  • Responsible for planning and directing programs and facilities in accordance with federal, state and local standards, guidelines and regulations. Supervises the activities of the specified areas of responsibility.
  • Directs the activity, performance and management of employees in the departments. Recruits, hires, trains, conducts performance evaluations and counsels direct reports.
  • Prepares, reviews and manages capital and operational budgets and staffing plans by evaluating financial and performance data to support organizational initiatives.
  • Monitors and reports on medical staff financials. Ensures medical staff bills are paid timely and medical staff dues are collected as required.
  • Develops and maintains written policies and procedures that govern operations. 
  • Oversees the operations of the Medical Staff Office.
  • Assess, implement, and effectively utilize technology and resources by analyzing the needs of the department in order to manage data with efficiency and integrity to comply with regulatory requirements, accreditation standards, and organizational policies and procedures.
  • Manages appropriate and timely assessment of appointments and reappointment to the Medical/Dental Staff, delineation of clinical privileges and associated credentialing functions. Works closely with Medical Staff. Assures accuracy of appointment and reappointment documentation.
  • Primary liaison to the Centralized Verification Office (CVO) and drives collaboration and process efficiencies. 
  • Assists Medical Staff Leadership in development, implementation and adherence to Medical Staff organization governing structure and documents, as well as adherence to accrediting body and state/federal regulatory requirements.
  • Ensures departmental compliance with all regulatory (Federal, NJ State Department of Health, and Joint Commission) standards by maintaining current policies and procedures that reflect all regulations. Works with Medical Executive Committee members and department chairs regarding required duties to help them consistently perform their functions and ensure compliance with above.
  • Directs administrative activities of the Medical Executive Committee, the Medical Staff Officers, Medical Staff departments and Medical Executive Committees, as needed. Coordinates assistance to Chairman and Members of the Medical Executive Committee and Medical Executive committees, including Constitution & Bylaws, Departmental Review, Credentials and all Ad Hoc Committees.
  • Reviews all Medical Executive Committee and Medical Executive Committee actions for consistency with hospital policy and Medical Staff Bylaws, as well as compliance with standards of CMS, the Joint Commission and state licensure regulations.
  • Identifies, reviews and reports practitioner performance data, complaints, sanctions, adverse actions, and quality of care issues in order to facilitate analysis by the appropriate organization leadership to enable evaluation of current and ongoing practitioner competency.
  • Ensure any adverse actions taken against a practitioner/provider are reported appropriately to the necessary authorized agencies, organizational staff, and external organizations in accordance with applicable law and contractual requirements.
  • Oversees the OPPE and FPPE process for all medical staff. Works with the Medical Staff leadership on data collection and reports.
  • Collaborate with Performance Improvement and Risk Management to investigate and analyze root causes, patterns or trends that could result in compensatory or sentinel events, serious adverse events and near misses.
  • Assists with physician complaint process, working with Performance Improvement, Patient Experience and Risk Management, following up with appropriate persons to assure that satisfactory outcomes are reached.
  • Ensures compliance with all internal and external requirements related to verifying the status of practitioner/provider expirables and makes recommendations to medical staff and organizational leadership accordingly.
  • Implements Medical Executive Committee and Committee rulings and policies and interprets Medical/Dental Staff regulations for all departments.
  • Oversees response to inquiries from other institutions regarding Medical/Dental Staff members.
  • Develops, implements, and continuously refines systems, tools, and processes for effective communication with the medical staff.
  • Coordinates election process for Medical Staff Officers as well as for Members-at-Large of the Medical/Dental Staff.
  • Coordinate special events and voting campaigns for physicians
  • As applicable, coordinates, implements, evaluates Continuing Medical Education for medical staff
  • Oversees management of physician call schedules
  • Adheres to the standards identified in the Medical Center's Organizational & Managerial Competencies.
  • Any other special projects as assigned
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelor's degree or 8 years prior credentialing or hospital medical staff office experience
  • Minimum of 5 years experience in hospital medical staff office, credentialing, or similar relevant experience
  • Prior experience with hospital accreditation
  • Exercises a high degree of initiative, judgment, discretion, and decision-making skills to achieve objectives.
  • Interpersonal skills to successfully interact with physician leadership, physicians, physician office staff, department directors, administration and regulatory agencies.
  • Detail oriented with analytical skills.
  • Excellent organizational skills with the ability to prioritize.
  • Ability to communicate effectively and clearly.
  • Ability to delegate responsibility and authority to staff.
  • Ability to create an atmosphere that encourages motivation, innovation, and high performance.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Google Suite and/or Microsoft Office platforms.

Education, Knowledge, Skills and Abilities Preferred:

  • Prior Management experience.
  • Familiar with Roberts Rules of Order.

Licenses and Certifications Preferred:

  • NAMSS certification as a Certified Professional Medical Services Manager (CPMSM) or Certified Provider Credentials Specialist (CPCS).

Compensation
Minimum rate of $92,144.00 Annually

HMH is committed to pay equity and transparency for our team members. The posted rate of pay in this job posting is a reasonable good faith estimate of the minimum base pay for this role at the time of posting in accordance with the New Jersey Pay Transparency Act and does not reflect the full value of our market-competitive total rewards package.

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
