The Residency Coordinator for the Dentistry Department is responsible for achieving and maintaining compliance with the Accreditation Standards for Advanced Education Program in General Practice Residency. He or she is responsible for securing and maintaining records in accordance with requirements of the standards and organizing documents to assure compliance can be readily demonstrated, including recruitment, program budget compliance, residency accreditation, credentialing and certification.

Responsibilities

A day in the life of a Residency Coordinator at Hackensack Meridian Health includes:

  • Secures and maintains knowledge of the Accreditation Standards for Advanced Education Programs in General Practice Residency to assure compliance.
  • Secures and maintains an updated copy of any agreements (contracts or affiliation agreements) pertaining to the Dental Department.
  • Coordinates the dental match and interview processes; schedules and confirms interviews during a three month period.
  • Maintains copies of any budgetary documents pertaining to the Residency Program. Ensures program budget compliance.
  • Secures and maintains records of all Performance Improvement activities associated with the program such as data collection, meeting minutes, outcome assessment plan and measures, annual review of outcomes measures and documents that reflect decisions based on outcomes results (i.e.: policies or procedures, memos, etc.).
  • Develops and maintains resident schedules as directed by the Chairman of the Department of Dentistry, assuring adequate resident coverage for rotations.
  • In collaboration with the Chairman of the Department of Dentistry, assures that current curriculum plans are in place and maintains records (schedules) of resident rotations including records of the supervising facility. Prepares the yearly rotation schedule for residents.
  • As requested, makes arrangements for rotations in other departments for dental residents.
  • In collaboration with the Chairman of Dentistry, sends out evaluations, assures completion of evaluations and maintains records of student/resident evaluations, maintaining confidentiality of documents.
  •  Secures and maintains records of student/resident clinical activity including procedures preformed in each area (operative dentistry; replacement of teeth; periodontal therapy; endodontic therapy; oral surgery; evaluation or treatment of dental emergencies; and pain and anxiety control).
  • Secures and maintains records of resident course outlines and records of conference schedules with attendance sheets.
  • Secures and maintains records of resident certifications and CPR certifications or CPR exemption records.
  • Secures and maintains records of full and part time faculty rosters, schedules and curriculum vitae of faculty members.
  • Maintains records for resident treatment with attending physicians in the OR.
  • Coordinates, confirms and maintains attendance of clinical schedules of Attending doctors.
  • Reports any concerns or noncompliance issues to the Chairman of the Department of Dentistry in a timely manner.
  • Creates, revises or provides reports for the Chairman of the Department of Dentistry as requested.
  • Attends meetings, records and distributes minutes of meetings as directed by the Chairman of the Department of Dentistry.
  • Assists in the preparation of any accreditation documents for surveys or a requested.
  • Maintains good working relationships with the faculty, residents, and other staff of the Department of Dentistry.
  • Adheres to the standards identified in the Medial Center`s Organizational Competencies.
  • During the tenure of the residency coordinator the Department of Dentistry Residency program went from seven residents to ten residents and now to eighteen residents.
  • The residency coordinator also handles all dealings with ADEA-PASS ` American Dental Education Association ` Post Doctoral Application Support service.
  • The residency coordinator also is our OR coordinator for all OR Cases.
  • Maintains residents schedules, Time off requests, and payroll.
  •  Handles all site visits for prospective residents.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Three to five years of office administration experience, preferably in a healthcare and/or education setting.

Education, Knowledge, Skills and Abilities Preferred:

  • Excellent organizational skills.
  • Excellent communication skills.
  • Proficient in Microsoft Word, especially Microsoft Word, Microsoft Excel.
  • Previous experience with residency program coordination helpful.

Compensation
Starting at $30.45 Hourly

The posted rate of pay in this job posting is a reasonable good faith estimate of the minimum base pay for this role at the time of posting in accordance with the New Jersey Pay Transparency Act and does not reflect the full value of our market-competitive total rewards package.

  • Experience: Years of relevant work experience.

  • Skills: Demonstrated proficiency in relevant skills and competencies.
  • Geographic Location: Cost of living and market rates for the specific location.
  • Internal Equity: Compensation is determined in a manner consistent with compensation ranges for similar roles within the organization.
  • Budget and Grant Funding: Departmental budgets and any grant funding associated with the job position may impact the pay that can be offered.

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
