The Faculty Advancement Specialist analyzes and interprets various faculty data for reports and provides data driven recommendations. This role serves as a key operational partner within the Office of Faculty Advancement, supporting the full faculty lifecycle including but not limited to appointments, reappointments, promotions, annual reviews, compliance, and faculty engagement. This role has strong organizational judgment, discretion with confidential information and the ability to manage multiple concurrent processes with accuracy and independence. This role works collaboratively with faculty, department chairs, administrators, and institutional partners to ensure that advancement processes are executed efficiently, consistently, and in alignment with institutional policies and accreditation standards. This role champions shared governance, career progression, and strict compliance with the Faculty Guide.

Responsibilities

A day in the life of a Faculty Advancement Specialist at Hackensack Meridian Health includes:

  • Works closely with department leadership to spearhead the full faculty advancement and lifecycle including but not limited to faculty appointments, reappointments, promotions, annual reviews,compliance and faculty engagement.
  • Supports and oversees Interfolio modules, including Faculty Activity Reporting (FAR), annual reviews, and case management.
  • Conducts presentations to report key metrics and outcomes of varying complexity.
  • Analyzes and interprets faculty records, rosters, and appointment data.
  • Drives data integrity efforts and handles system enhancements, testing and user training.
  • Coordinates the faculty background check process, including distribution and collection of Non-Paid Activation Forms (NPAFs) and initiation of screenings through a third-party provider.
  • Audits mandatory training completion (e.g., FERPA, Title IX, Clery Act) and conducts follow-up outreach to faculty with outstanding requirements.
  • Processes vendor forms and coordinates network credentialing for non-employed faculty with DTS.
  • Acts as the first point of contact for faculty inquiries regarding appointments, promotions, annual reviews, and office resources.
  • Plans and facilitates drop-in sessions, training, and onboarding activities.
  • Generates communications, guides, newsletters, and resource materials.
  • Completes department projects from start to finish and implements process improvement initiatives.
  • Reviews CVs, portfolios, and supporting documentation for accuracy and adherence to institutional criteria.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelor's degree in Education, Business, Communication or related field or equivalent combination of education and relevant experience.
  • Minimum of 2 or more years of progressively responsible, coordination, or program support experience, preferably in higher education, academic medicine, or healthcare.
  • Demonstrated ability to manage multiple priorities independently with a high degree of accuracy and follow-through.
  • Strong written and verbal communication skills, with the ability to interact professionally with faculty and senior leadership.
  • Proficiency with and comfort learning new technology platforms.
  • Proven discretion in handling confidential and sensitive information.
  • Proficient computer skills that include but are not limited to Google Suite and/or Microsoft Office platforms.
  • Proficient in Faculty Database Platforms such as Interfolio, or Digital Measures.
  • Excellent written and verbal communication skills.

Education, Knowledge, Skills and Abilities Preferred:

  • Masters Degree in Business, Education, Communication, or related field.
  • Experience with Interfolio, learning management systems, or comparable faculty/academic management platforms.
  • Familiarity with faculty appointment and promotion processes, accreditation standards (e.g., LCME), or academic compliance requirements.
  • Experience supporting committees or governance bodies.

Compensation
Minimum rate of $73,153.60 Annually

HMH is committed to pay equity and transparency for our team members. The posted rate of pay in this job posting is a reasonable good faith estimate of the minimum base pay for this role at the time of posting in accordance with the New Jersey Pay Transparency Act and does not reflect the full value of our market-competitive total rewards package.

The starting rate of pay is provided for informational purposes only and is not a guarantee of a specific offer. Posted hourly rates may be stated as an annual salary in the offer and posted annual salaries may be stated as an hourly rate in the offer, depending on the level and nature of the job duties and credentials of the candidate. The base compensation determined at the time of the offer may be different than the posted rate of pay based on a number of non-discriminatory factors, including but not limited to:

  • Labor Market Data: Compensation is benchmarked against market data to ensure competitiveness.
  • Experience: Years of relevant work experience.
  • Education and Certifications: Level of education attained, including specialized certifications, credentials, completed apprenticeship programs or advanced training.
  • Skills: Demonstrated proficiency in relevant skills and competencies.
  • Geographic Location: Cost of living and market rates for the specific location.
  • Internal Equity: Compensation is determined in a manner consistent with compensation ranges for similar roles within the organization.
  • Budget and Grant Funding: Departmental budgets and any grant funding associated with the job position may impact the pay that can be offered.

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
