The Practice Operations Trainer/Analyst designs and implements training programs for providers and medical practice staff for the use of Epic ambulatory EMR and professional revenue cycle modules; tracks and monitors performance of the revenue cycle functions in order to design and implement training programs. Uses proven methodologies, including needs analysis, to design and develop, implement and evaluate system training. Responsible for identifying, resolving and improving operational deficiencies that impact revenue cycle operations. Establishes front office workflows and communicates responsibilities and expected service excellence performance for Hackensack University Medical Group physician office staff to ensure patient satisfaction and adherence to standards.
Responsibilities
A day in the life of a EPIC Credentialed Trainer at Hackensack Meridian Health includes:
- Design and implement training and maintain training materials related to physician practice operations and revenue cycle including but not limited to: ambulatory EMR, scheduling, registration, charge entry and insurance verification.
- Plans, implements and evaluates Epic ambulatory EMR and professional revenue cycle training.
- Oversee, track and monitor performance of all revenue cycle functions related to physician practice revenue cycle functions.
- Provide tactical leadership in the development and implementation of revenue cycle policies and procedures.
- Establishes procedures to resolve complex issues and questions not covered in standard policy and trains staff on steps to resolve complaints and complex calls.
- Assist with quality control review of processes and daily monitoring of status of backlogs.
- Analyzes root causes of revenue cycle related issues and recommends system enhancements; coordinates and participates in testing of related enhancements and other related revenue cycle workflow changes/implementations.
- Set training schedules and review expectations with Hackensack University Medical Group physician practice staff and leadership
- Maintain orientation training for Hackensack University Medical Group revenue cycle workflows and maintain competency records for designated physician practice staff.
- Assists in the development and maintenance of the policy and procedure and training manuals.
- Develop agenda and facilitate Front End Users meetings to disseminate information on revenue cycle operations to designated physician practice staff
- Provide feedback related to actual situations observed, work with staff one on one and in group settings, monitor staff for improvements, and determine if other areas of focus become needed.
- Monitor transaction edit reports and insurance verification edits to assure that edits are resolved timely and practice staff have resources and training to resolve edits
- Present workflow updates to staff involved in the physician revenue cycle
- Develop, maintain and disseminate reference materials to support staff involved in the physician revenue cycle for example payor plan/FSC list, Medicare fee schedule, reference list on which payors require pre-authorization
- Educate staff involved in the physician revenue cycle on protocols, policies, procedures and workflows, i.e.: time of service payments, resolving TES edits and REQs, pre-collection list.
- Conduct periodic assessments of the practice based revenue cycle activities to assure that revenue cycle operations in the practices are applied in accordance with established workflows and policies
- Assists in developing quality metrics to measure/assess key revenue cycle functions
- Develops and maintains re-training schedule to enable Hackensack University Medical Group physician practice non-clinical employees` skill levels defined for position
- Report on practice assessments and collaborate with Director, Faculty Practice Operations & Revenue Cycle and Director, Management Operations to assure that practice based revenue cycle activities are conducted with an orientation to continuously enhance patient, physician and staff satisfaction.
- System administrator to grant access and maintain passwords for insurance verification tools: Emdeon and Navinet
- System administrator for Hackensack University Medical Group practices for access to payor portals
- Maintain a central database on practice management applications by practice: users, locations, use of scheduling system, automated encounter form, etc
- In collaboration with practice management software vendor, authorize access to the billing system for new and established users by application: billing, registration, scheduling, edits, reports, insurance verification
Qualifications
Education, Knowledge, Skills and Abilities Required:
- Bachelor's degree in related field or 2 or more years experience as Epic credentialed trainer or Epic University certified in one or more modules: Epic Prelude/Cadence, Epic Resolute Professional Billing or EpicCare Ambulatory EMR.
- Minimum of three to five years experience working with billing information systems with knowledge of professional billing rules.
- At least two years experience as a trainer teaching adult end users.
- Strong interpersonal and communication skills, including the ability to motivate personnel.
- Clear, concise and persuasive writing and presentation skills.
- Ability to work with a variety of individuals and disciplines.
- Ability to facilitate a congenial and professional working relationship with internal and external vendors, internal and external customers, peers and superiors.
- Ability to communicate needs and concerns in a positive, constructive and professional manner.
- Excellent customer service skills.
- Ability to adapt training schedule as needed to accommodate clinical needs.
- Ability to travel off-site.

Education, Knowledge, Skills and Abilities Preferred:
- EPIC practice management software: Epic Prelude/Cadence or Epic Resolute Professional Billing or EpicCare Ambulatory EMR.
Licenses and Certifications Required:
- ADT/Prelude Certification or Epic Cadence or Epic Resolute Professional Billing or EpicCare Ambulatory EMR within six months of start date..
- Designation as Epic credentialed trainer required within six months of start date.

Compensation
Minimum rate of $73,153.60 Annually
HMH is committed to pay equity and transparency for our team members. The posted rate of pay in this job posting is a reasonable good faith estimate of the minimum base pay for this role at the time of posting in accordance with the New Jersey Pay Transparency Act and does not reflect the full value of our market-competitive total rewards package.

- Budget and Grant Funding: Departmental budgets and any grant funding associated with the job position may impact the pay that can be offered.
Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
