The Sleep Scheduling Specialist is responsible for reviewing clinical documentation and provider orders to ensure all required information is complete and accurate prior to scheduling sleep studies at Hackensack Meridian Health (HMH). Works closely with referring providers, clinical offices, patients, and internal teams to obtain missing documentation, secure authorizations, and coordinate timely scheduling while maintaining compliance with clinical, payer, and organizational standards.

Hybrid position with 90% work from home and 10% working onsite after completing the fully onsite training period
Onsite training for a minimum of at least the first 4 weeks of employment and candidates need to be available for the entire duration.
Training will require you to travel to our Edison and Tinton Falls locations.

Responsibilities

A day in the life of a Sleep Scheduling Specialist at Hackensack Meridian Health includes:

 

  •  Review sleep study orders and supporting clinical documentation for completeness and accuracy.
  • Verify diagnoses, symptoms, medical history, and test orders prior to scheduling.
  • Identify missing or inconsistent documentation and follow up with referring providers.
  • Collaborate with medical offices to obtain corrected or additional information. Provider and Office Communication
  • Serve as a liaison between Patient Access Center sleep scheduling centers, referring providers, and office staff.
  • Follow up on outstanding documentation requests within established timelines.
  • Communicate clearly and professionally to support continuity of care. Authorization & Insurance Coordination
  • Determine authorization requirements based on payer guidelines.
  • Initiate, track, and follow up on prior authorizations.
  • Verify insurance coverage and eligibility. Scheduling & Patient Coordination
  • Schedule sleep studies based on medical priority and authorization status.
  • Contact patients to review appointment details and preparation instructions.
  • Accurately collect and verify all patient information. Systems, Tracking & Compliance
  • Document all activity in the Electronic Health Record (EPIC).
  • Maintain trackers, work queues, and reports.
  • Adhere to workflows, productivity standards, and quality metrics. Collaboration & Continuous Improvement
  • Collaborate with leadership and cross-functional teams.
  • Assist with additional duties and projects as assigned.
  • Support process improvement initiatives.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Minimum 2 years of healthcare scheduling or patient access experience.
  • Strong attention to detail and communication skills.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Google Suite and/or Microsoft Office platforms.

Education, Knowledge, Skills and Abilities Preferred:

  • Prior experience in sleep medicine or diagnostic testing.
  • EPIC Electronic Health Record experience.
  • Knowledge of medical terminology and insurance processes.
  • Bilingual preferred.

Compensation
Minimum rate of $23.97 Hourly

HMH is committed to pay equity and transparency for our team members. The posted rate of pay in this job posting is a reasonable good faith estimate of the minimum base pay for this role at the time of posting in accordance with the New Jersey Pay Transparency Act and does not reflect the full value of our market-competitive total rewards package.

The starting rate of pay is provided for informational purposes only and is not a guarantee of a specific offer.   • Internal Equity: Compensation is determined in a manner consistent with compensation ranges for similar roles within the organization.
  • Budget and Grant Funding: Departmental budgets and any grant funding associated with the job position may impact the pay that can be offered.

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
