Manages the activities of the Receiving, Storeroom and Mail Room/Print Shop staff to assure that all incoming and outgoing freight, printed material and mail is processed correctly and distributed to the departments to which it is consigned on time and in good condition in the most cost efficient manner, and that all records of both incoming and outgoing freight , mail and printed materials are properly maintained. Manages the storeroom for printed forms and other supplies, monitoring par levels to minimize the cost of obsolescence

Responsibilities

  • Manages the activities of the receiving and mailroom staff to insure maximum productivity. Maintain established departmental objectives, safety and environmental standards. Verifies accuracy of incoming and outgoing shipments, also checking for damages. Manages staff to assure deliveries to departments are completed timely and works with end user if special handling is required. Works with Director in budget preparation and variance explanation. Oversees entry of information into MMIS, third party freight tracking system, and/or manual shipping requests. Provides 'hands-on' assistance when necessary. 'Priority' and 'overnight' deliveries are reviewed to insure the most cost effective class of service is specified. Updates and creates department policies and procedures, both new and revised. Reviews with staff to assure their understanding and compliance with all corporate and departmental policies / procedures. Conducts departmental meetings as needed. Completes employee evaluations in a timely manner. Schedule vacations and personal time off to have minimal impact on department efficiency. Verifies and approves payroll. Manage inventory of storeroom products to minimize obsolescence and avoid 'stock outs.' Inspects to verify that stock in Storeroom is put away and rotated to maintain FIFO. Coordinate requests for forms with the in-house copy center, forms vendor and end user department. Stock is put away in Storeroom and locator system is properly maintained. Conduct annual physical and cycle counts.
  • Enters quantity received into the MMIS system with receiving notes when applicable. Files and expedites claims for lost or damaged goods. Assists and completes data entry for issues and returns of storeroom supplies into HEMM. Print delivery document and affixes to shipment awaiting delivery to end user department. Completes all filing of packing slips and computerized generated receiving document. Prepares documentation to charge back departments for appropriate shipping costs. Works with purchasing, finance and ordering departments in expediting and tracing shipments, verifying receipts and deliveries. Investigates and answers customer inquiries for delivery status. Assists in reconciling discrepant invoices by pulling documentation. Investigates and resolves complaints about goods delivered to wrong departments promptly in accordance with department standards.
  • Records discrepancies or damages on shipping ticket and notifies purchasing department of short ships, damages, or picking errors within 24 hours of receipt. Counts, checks and verifies items received against Bill of Lading, manifest and/or packing lists and signs delivery paperwork. Match actual items received against vendor packing lists and Purchase Orders. Notifies biomedical department and/or Corporate Facilities when electrical inspection is required. Affixes property tag(s) on capital equipment and / or forward tag to appropriate department manager. Insures that the manual Receiving Record accurately lists every receipt that does not have a Purchase Order. Coordinates with vendors on items to be returned to vendors. Obtain return authorizations and return forms as required. Verifies that all appropriate signatures are secured upon the delivery of supplies and certified mail.
  • Responsible for maintaining safe work area. Ensures that power and other equipment is operated and maintained within department guidelines and safety policy and procedures. Maintain a safe, neat and clean work environment. All moveable equipment is put away and secured at the end of every day. Completes monthly Environment of Care Checklist and submits to Director of Safety
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Minimum 4 years receiving, storeroom, or general warehouse experience.
  • Must be computer literate. Must be proficient in using materials handling equipment including pallet jack and hand truck. Good communication skills required in person and on telephone.

Education, Knowledge, Skills and Abilities Preferred:

  • Some college.
  • Minimum 1 year supervisory experience.
  • Microsoft Windows, Word and Excel experience.
