Responsible for leading and directing the team in the facilitation and administration of the preboarding process, ensuring that all onboarding steps are completed within service and compliance standards. Responsible for organizing, streamlining, and executing the preboarding journey and managing the end-to-end preboarding process, ensuring a great experience and smooth start for new team members. Responsible for executing and promoting the core work-based standards of accuracy, compliance, customer service, and communication. The Manager, Preboarding plays a critical role in navigating through ambiguous and complex situations, diplomatically and fairly leading and engaging across various stakeholder groups (team members, candidates, peers, internal HMH colleagues/functions, as well as external partners) to deliver a smooth and efficient preboarding journey for newly hired team members.

Responsibilities

A day in the life of a Manager Preboarding at Hackensack Meridian Health includes:

 

1. Manages preboarding function to ensure consistent processes are maintained and necessary improvements are made while working collaboratively with the preboarding team to optimize the candidate experience.

2. Leads development of relationships and supports the performance management process of the team members.

3. Serves are the subject matter expert on the life cycle from preboarding to onboarding, challenging the status quo, prioritizing and managing workload, and making recommendations on how to improve process efficiencies.

4. Responsible for all preboarding activities ensuring compliance with HMH policies, procedures, and legal requirements maintaining a high level of integrity at all times.

5. Maintains and develops all preboarding process training materials and SOP documentation.

6. Leads the employment eligibility verification (Form I-9 and E-Verify) following USCIS guideline.

7. Makes or approves hiring or termination decisions.

8. Recommends changes to preboarding policies and establishes preboarding procedures for the team

9. Responsible for establishing specific, measurable goals for the preboarding team.

10. Leads the new hire background check process, which includes process execution, issue escalation, and documentation.

11. Manages the process ensuring that candidates meet pre-hire requirements (cleared for hire).

12. Proactively and collaboratively identifies and responds to problems with appropriate action and follow-through.

13. Manages the new hire orientation rosters for clinical orientations .

14. Participates in the performance management/corrective action of team members for redirection and optimal performance outcomes.

15. Conducts quarterly team audits to ensure that core work standards and requirements are being followed.

16. Manages data integrity between applicant tracking system and PeopleSoft.

17. Partners with external vendors and internal stakeholders to ensure business and operational continuity for optimal candidate and system experience.

18. Communicates effectively, professionally, and cross functionally while always maintaining a high level of confidentiality.

19. Lifts a minimum of 5 lbs., pushes and pulls a minimum of 5 lbs. and stands a minimum of 2 hours a day.

Qualifications

Education, Knowledge, Skills and Abilities Required:

1. Bachelor's degree.

2. Minimum of 6 years of experience in a high-volume recruitment/onboarding/human resources/customer service/call center function.

3. Ability to proactively solve problems and provide out of the box solutions.

4. Excellent written and verbal communication skills; energy, enthusiasm, and positive attitude.

5. Strong work ethic with aspirations to advance career.

6. Very high emotional intelligence, empathy, and self-awareness.

7. Extremely high attention to detail and ability to stay organized.

8. Ability to manage multiple deadlines and re-prioritize work, as needed.

9. High business acumen in maintaining and protecting confidential information.

10. Proficiency in Google (Gmail, Sheets, Slides, and Docs).

11. Experience in leading/managing projects and/or HR initiatives focused on process improvement and optimizing the candidate experience.

12. Can effectively assess, prioritize, and delegate tasks as needed based on business need.

13. Proficiency building partnerships/relationships, consensus, and influencing key stakeholders.

14. Exceptional customer service; passion for the candidate/customer experience.

15. Work cross functionally and collaboratively.

16. Ability to lead/manage a team focusing on collective problem solving/decision-making.

17. Ability to multitask while working in a fast-paced team environment.

 

Education, Knowledge, Skills and Abilities Preferred:

1. Prior experience in healthcare.

2. Prior leadership/supervisor experience.

3. Experience with Fair Credit Reporting Act (FCRA).

4. Experience with US Citizenship and Immigration Services (USCIS).

5. Experience with Adverse Action.

6. Experience with I-9 Employment Eligibility Verification.

7. Experience with E Verify.

8. Previous audit or compliance experience.

Compensation
Minimum rate of $131,144.00 Annually

HMH is committed to pay equity and transparency for our team members. The posted rate of pay in this job posting is a reasonable good faith estimate of the minimum base pay for this role at the time of posting in accordance with the New Jersey Pay Transparency Act and does not reflect the full value of our market-competitive total rewards package.


The starting rate of pay is provided for informational purposes only and is not a guarantee of a specific offer. Posted hourly rates may be stated as an annual salary in the offer and posted annual salaries may be stated as an hourly rate in the offer, depending on the level and nature of the job duties and credentials of the candidate. Experience: Years of relevant work experience. Education and Certifications: Level of education attained, including specialized certifications, credentials, completed apprenticeship programs or advanced training. Skills: Demonstrated proficiency in relevant skills and competencies. Geographic Location: Cost of living and market rates for the specific location. Internal Equity: Compensation is determined in a manner consistent with compensation ranges for similar roles within the organization. Budget and Grant Funding: Departmental budgets and any grant funding associated with the job position may impact the pay that can be offered. Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
