The OR Service Coordinator helps to plan, organize, and direct the specialty services within their service lines by establishing and preparing to deliver unique services in surgical care. This includes planning for and oversight of training, supplies, equipment, and instrumentation for the delivery of surgical care across the continuum of their services. The OR Service Coordinator is integral in evaluating service needs, care delivery related to quality, safety, and efficiency of care for the surgical patient.

Responsibilities

A day in the life of an OR Service Coordinator at Hackensack Meridian Health includes:

 

  • Conducts initial and ongoing rounds throughout the day. Communicates with charge RN, team members, surgeons, anesthesia providers, Perioperative team (preop/PACU), SPD to ensure cases proceed as planned. Acts as a resource for all members of the team.
  • At a minimum, reviews OR schedule one week in advance for specific case needs. Assesses need for items such as equipment, implants, specialty items, and potential/opportunity for staff education. Conducts a review of the schedule at scheduling huddle the day prior for any changes.
  • Contacts vendor representatives per established policies and procedures to obtain necessary implants/instruments/specialty items for cases. Monitors vendors in the patient care areas.
  • Expedites first case on time starts and room turnover. Strives to assist team in meeting all OR efficiency and quality benchmarks.
  • Follows the value analysis protocol and procedure for new supply/equipment requests. Coordinates trials/in-services with appropriate materials management staff.
  • Actively participates in the annual equipment planning process including the acquisition of quotes.
  • Participates in inventory management by adjusting PAR levels as needed, monitoring for expiring products, revising custom packs, and performing value analysis functions seeking potential cost saving/containment.
  • Engages surgeons and staff in the development of capital budgetary requirements.
  • Provides room coverage and/or relief for staff breaks as needed to maintain patient throughput.
  • Oversees and manages service line preference cards and instrumentation trays to ensure efficient use of physician and staff time as well as efficient use of supplies. Changes are made in a timely manner.
  • Works collaboratively with all perioperative team members including SPD to ensure all supplies and equipment necessary for cases are available when needed.
  • Leads performance management initiatives including prep for regulatory surveys.
  • Maintains clinical expertise and demonstrates ability to conduct quality/environmental auditing.
  • Maintains a collaborative relationship with materials management to approve changes to supply cabinets as needed and manage supply inventory.
  • Collaborates with perioperative management team to develop department standards, policies, procedures, protocols, documentation, and performance monitoring tools.
  • Provides input into perioperative preparation and monitoring, enabling the service line team to function within budgeted constraints.
  • Utilizes quality control and performance processes to help identify patient care issues/problems.
  • Assists in the development and ongoing assessment of staff orientation processes and annual competencies to assure department team members knowledge and skills fulfill service line expectations.
  • Provides performance feedback for team members to be assessed for their annual performance evaluation.
  • Supports research and implementation of research findings in specialty and participates in research activities and opportunities for learning.
  • Demonstrates expert team building skills, problem solving abilities, crucial conversation skills, negotiation and conflict resolution strategies needed in a high stress environment.
  • Maintains a collaborative relationship among peers; provides coverage for other service lines in the absence of colleague/peer.
  • Provides Manager on Call weekend/Holiday coverage on a rotating basis.
  • Consistently provides opportunities for interaction with team members to discuss professional growth, personal concerns, and educational goals.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

 

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • NJ State Professional Registered Nurse License is required
  • Three to five (3-5) years of operating room/surgical experience required
  • AHA Basic Health Care Life Support HCP Certification required
  • Ability to work as part of a cohesive leadership team
  • Leadership experience preferred
  • Excellent communication, facilitation and delegation skills
  • Experience in an operating room. Familiarity with equipment and instruments used in this area, medical terminology, supply management experience. Knowledge of computer systems used in the operating room and materials management. Excellent organizational skills and work with minimal supervision.
  • Minimum 2 years Vascular experience
  • Two (2) years of surgical experience in a clinical specialty service line preferred
  • General OR experience preferred
  • Leadership oversight preferred 
  • Experience with mentorship, education and training of staff nurses preferred 
  • BSN degree preferred
  • Certified Nurse Operating Room within one year
