The Coordinator, Outpatient Rehab reports to the Manager of Rehab Services and works with PT/OT/SLP therapists, supervisors, and clinical and support staff at Riverview Medical Center and Holmdel Rehabilitation, in the execution and coordinating of scheduling, registration, and billing functions, information management in computer applications, and filing. In addition, the incumbent acts as a lead by overseeing the department and/or patients in verifying insurance data, obtaining insurance authorizations and pre-certification, interpreting financial/insurance data and in the completion of appropriate forms and associated computer or paperwork with this function.

Responsibilities

A day in the life of a Outpatient Rehab Coordinator at Hackensack Meridian Health includes:

  • Performs, develops and oversees the responsibilities of secretaries (patient intake representatives) including insurance verification and authorization, scheduling, registration, medical records management, coding and billing data entry to ensure optimal patient flow, business efficiency and accuracy. Oversees end of day procedures for accuracy and completion.
  • Coordinates scheduling in conjunction with radiology for Modified Barium Swallow Studies.
  • Orients secretaries to the department and facility and works with access services and EPIC Education for training new team members in Front Desk operations. Schedules secretarial staff for EPIC education classes.
  • Provides ongoing counseling and performance feedback for secretaries in collaboration with the Rehab Manager/Supervisor.
  • Conducts regular, informative and interactive staff meetings with secretaries to share information, and seek staff input, at least monthly and as needed.
  • Collaborates and coordinates with Finance, Billing Office, Access Services, EPIC Education, Materials Management, and other departments as needed
  • Develops root cause analysis framework for billing errors in the departments with communication to the appropriate chain of command for resolution, including insurance denial lists.
  • Acts as a medical record liaison to facilitate accurate provision of medical record requests and recordings.
  • Management of work queues for Outpatient and Inpatient Rehabilitation to ensure timely reimbursement.
  • Prioritizes workload and assigns team members to functions in order to maximize efficiency and support the business goals of the department.
  • Owns payroll timekeeping functions for the secretaries, including reconciling time-off requests and hours worked.
  • Maintains inventories of supplies and manages ordering processes. Researches pricing information and other pertinent information on products being considered for purchase and conducts item builds when necessary.
  • Monitors the environment to ensure safety and compliance with regulations and standards. 
  • Oversees and coordinates that medical charts are in compliance with Medicare and TJC standards for Outpatient therapy Plans of Care and prescriptions.
  • Maintains and utilizes up to date knowledge of reimbursement models, insurance company requirements (including managed care, Medicare, Medicaid, Workers Comp, and PIP.
  • Participates in Performance Improvement in the review, analysis, and implementation of procedures to maximize the department's operating efficiency and builds reports at management request for analysis.
  • Coordinates with care management of Inpatient/Acute Care/CJR for discharge disposition and oversees scheduling of these patients for outpatient therapy.
  • Oversees the collection of copayments at the time of service, the use of the compassionate care policy and the establishment of payment plans.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs and 4 years of relevant experience.
  • Minimum 3 years of experience in a medical/hospital office setting.
  • Experience with word processing, data entry, and medical terminology.

Education, Knowledge, Skills and Abilities Preferred:

  • Bachelor's degree.
  • Knowledge and experience in Medicare, Medicaid and Managed Care Plans, EPIC.
