The Practice Manager, Pediatric ER Operations is responsible for overseeing the day to day operations of the Pediatric Emergency Department (Pediatric ED), including operations at Hackensack UMC at Pascack Valley. This position is responsible for the financial processes and oversight of all clerical functions and clerical staff in the Pediatric ED, working in conjunction with the Nurse Manager and Physician Leadership in managing all aspects of operations.


A day in the life of a Practice Manager at Hackensack Meridian Health includes:

  • Responsible for management of ETD Clerical Associates, including scheduling, disciplinary issues and performance management.
  • Responsible for monitoring of patient registrations by clerical staff to ensure accuracy of insurance information and appropriate billing information, including ensuring that all information in IDX is updated by the clerical staff.
  • Collaborates with Nurse Manager, HIM department and the Medical Director to ensure compliance with proper documentation in EMR, and timely completion of queries to facilitate correct coding and billing.
  • Collaborates with Nurse Manager and Administrative Director in the development of the annual budget for all Pediatric ED cost centers, including all salary and non-salary expenses, contracts, and zero-based sub-accounts.
  • Collaborates with nurse manager to monitor monthly responsibility summaries and prepare variance reports as necessary.
  • Responsible for the direct communication of vital information to the clerical staff through daily communications as well as rounding and monthly staff meetings.
  • Responsible for ensuring that proper charge classification for level of service as provided by physician, as well as accurate charging of patient supplies is completed by staff.
  • Ensures timely filing of all information received by patients for motor vehicle accidents and workers compensation cases to physician billing.
  • Responsible for monitoring cash collection within the department and Peds ED at Pascack Valley, including twice weekly deposits to the cashier's office as per policy. This includes accounting for reconciling all co-pays collected and verifying all billing numbers in the SMS system prior to depositing monies to ensure accurate crediting of patient accounts. This also includes verifying all information in the shift-4 report for accuracy and monitoring department petty cash.
  • Responsible for providing to Administrative Director and Section Chief, reports related to department financial statistics, including analysis of information.
  • Actively participates in the continuing development of the EMR as it relates to clerical and financial functions/documentation in the Peds ED, represents the Peds ED on EPIC workgroups.
  • Performs daily reconciliation of charts/billings.
  • Reviews all requests for account adjustments and write-offs and monitor/correct accounts listed on monthly bad address report.
  • Responsible for addressing patient billing concerns and working collaboratively with various departments to resolve them (i.e. consumer affairs, third party payers, IT, HIM, finance, etc).
  • Works directly with patients in obtaining outside financial assistance by facilitating access to financial resources. and assists in accessing hospital business services and in contacting other providers regarding financial matters.
  • Kronos timekeeper and Responsible for Approving Time card in conjunction with Nurse Manager.
  • Monitor RFQ's on HUMC Intranet for possible corrections needed to Physician billing accounts.
  • Participate in unit disaster management planning; coordinate that Clerical Associates role in disaster management.
  • Identifies the needs of the patient population served and modifies and delivers care that is specific to those needs (i.e., age, culture, language, hearing and/or visually impaired, etc.). This process includes communicating with the patient, parent, and/or primary caregiver(s) at their level (developmental/age, educational, literacy, etc.). 
  • Adheres to the standards identified in the Medical Center's Organizational & Managerial Competencies


Education, Knowledge, Skills and Abilities Required:

  • High school diploma or equivalent.
  • Two or more years progressive experience in professional and technical billing and collections.
  • Proficient in Microsoft work, excel and power point.
  • Physical Billing Database experience, including electronic billing.

Education, Knowledge, Skills and Abilities Preferred:

  • Four years college education in business or accounting.
