Assists the Pharmacy management team in key areas: scheduling, payroll, performance metric measurements, performance improvement monitoring, as well as filing, copying, archiving documents, and assisting staff with other duties as requested and/or assigned. Attention to detail, follow through, communication skills, and the ability to multitask is required.

Responsibilities

A Day in the life of an Office Coordinator Pharmacy at Hackensack Meridian includes:

  • Organizes and prioritizes daily workload to assure completion of responsibilities. Maintains a neat and orderly work area and department.
  • Demonstrates accuracy, speed and timeliness in completing work assignments. Manages interruptions appropriately, consistently utilizing work time effectively to perform individual job tasks and assist co-workers in performing related tasks, demonstrating discretion involving non work related interactions.
  • Performs job tasks in a thorough, organized manner. Recognizes problems early in their development and takes appropriate actions to resolve them.
  • Seeks guidance in handing concerns outside the scope of personal authority. Makes appropriate routine decisions.
  • Communicates with supervisor to clarify assignments and priorities as needed, demonstrating courtesy and respect. Follows through to ensure that all problems are resolved.
  • Answers phones promptly, screens and refers calls. Questions caller appropriately in order to best determine his/her needs.
  • Maintains adequate inventory of office supplies for departmental use.
  •  Maintains HR files. Ensures new employees are oriented to department and onboarding documents are accurate and complete. Orients and trains new staff members as requested.
  • Scheduling of staff as assigned and payroll oversight.
  • Disseminates departmental information to staff as requested by management.
  • Participates in the collection of departmental and hospital performance improvement metrics through auditing.
  • Ensures all areas required for inspection, within and outside of the pharmacy, are completed timely and forms legible and accurate.
  • Maintains records for assigned competencies, E-Learnings, productivity/operational/punctuality metrics and clinical intervention data.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  1. High school diploma or equivalent required
  2. Minimum of two years administrative assistant/office coordinator experience with a minimum of one year in a health care/pharmacy setting.
  3. Computer skills; Word, Excel; strong interpersonal, telephone and organizational skills.
  4. Secretarial or medical office certificate.
  5. Pharmacy/nursing background.

Licenses and Certifications Required:

  1. Pharmacy Technician License.
