Reporting to the Vice President of Philanthropy Operations, the Executive Director of Administration provides executive leadership and strategic oversight for administrative operations of the HMH Foundation including staff relations and development, foundation policies, contracts and finances. The ED is responsible for the internal Foundation operations ensuring that the strategic initiatives of the organization are well-supported and enhanced through strong administration and finances.

This position will include a combination of remote and on-site work.

Responsibilities

A day in the life of an Exec Director of Administration at Hackensack Meridian Health includes:

  • Develops, implements and enforces HMH Foundation policies and procedures consistent with those of Hackensack Meridian Health.
  • Serves as a Foundation liaison to the HMH Network for Human Resources, Legal and Finance.
  • Supports the executive leadership and board(s) of the Foundation with financial reporting formats and internal financial reports, strategic and operational financial analysis for fundraising campaigns, budget analysis, and strategic planning and process.  
  • Works collaboratively with HMH network Finance on financial reports, investments, audits, charitable registrations and more.
  • Manages internal functions related to human resources, staff relations and culture, including but not limited to: orientation for new team members, coordinating professional development opportunities, drafting job descriptions, training/guiding staff in use of MyWay PeopleSoft, guiding staff through goal-setting and performance evaluations, and managing culture-related initiatives and activities.  Work collaboratively with HMH network HR liaison on all HR-related matters.
  • Supervises the director of foundation accounting & budgeting.  Implements best practices and ensures the accounting & budgeting team carries out internal accounting and budgeting duties, including: timely and accurate monthly closing process, budget preparation, budget monitoring and analysis, quarterly fund transfers, pledge write-offs and other related duties.
  • Manages any internal or external audits of the HMH Foundation.
  • Manages the review and approval process of all non-event contracts for the Foundation, including coordinating reviews with purchasing, IT, finance and legal departments.
  • Ensures foundation compliance with HMH policies and procedures.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.
  • It is understood that this role will evolve or change with the priority needs and direction of HMH Foundation, as determined by the CDO.

Qualifications

Knowledge, Education and Skills Required: 

  • Baccalaureate degree in related from an accredited four-year college or university.
  • A minimum of 10 years of related experience, particularly in nonprofit accounting/finance.
  • At least 5 years of management experience.
  • Ability to communicate, both orally and in writing, complex technical issues and information in a clear, concise manner, to individuals with little or no technical background.
  • Advanced skills in spreadsheet software and accounting/general ledger systems. 
  • Professional enthusiasm; ability to innovate and be resourceful; a strong work ethic; superior oral and written communication skills; and excellent interpersonal skills.
  • Collegial team player able to interact effectively with diverse internal and external constituencies.
  • Effective in a fast-paced environment and eager to contribute to the collaborative goals of an organization.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and manage multiple assignments and deadlines.

 

Knowledge, Education and Skills Preferred: 

  • Masters or professional degree or certification in a related field.
  • Knowledge and proficiency in Raiser’s Edge or similar fundraising database.
  • Experience working in fundraising operations for a large multi-hospital system.
  • Highly functional with Google Office Suite applications.
  • Working knowledge of fundraising principles and practices.
